Secure online portal – our secure online portal (powered by Box) is a quick and easy way to receive your data. Once your case has been completed, we will send you a link to download your data. We will send you a password separately which you will need to access the link. Once you have clicked the link and entered your password, you will be able to download your data to your device.

Email attachment – if you have provided us with an email address, we can send you your data as password-protected email attachments. Your password will be sent to you separately, and one of the team will confirm with you how you would like to receive this. Please note that if your case contains a lot of data, we may need to split the files across multiple emails. This is due to file size limitations on email attachments, which can vary depending on your email provider.

USB/CD – we can send your data to you via secure delivery on either a USB stick or an audio CD (for call recordings). Please note that you will need to sign for the package once it arrives. You will need a device with a USB-A port (or a suitable adapter) to access files on USB.

Paper copy – we will send your data to you on paper via secure delivery. Please note that you will need to sign for the package once it arrives. If you have requested call recordings, we will ask you to confirm whether you would like to receive these via online portal, email, USB, or audio CD.

All personal data relating to you that is held by Aviva will be retained for as long as is necessary to carry out the purpose for which it was collected and to meet our regulatory and legal obligations. The data may be shared within Aviva and the Aviva group of companies where necessary. We will sometimes need to share your personal data with third parties but will only do so where necessary. Recipients may include legal advisers, regulatory bodies and our third party service providers, such as IT suppliers.
